Job Summary
The Administrative Assistant I ( AAI) will serve as a key member of the Career Center's Experiential Programs team, assisting with responses to student phone, email and face to face inquiries, corresponding with students regarding missing documentation, overseeing internship approvals, and running data tracking reports as needed. The AAI will also update program documents as needed and maintain calendars to reflect the most current program opening and deadline dates.
Minimum Education and Experience

Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience.

Essential Duties and Responsibilities

  • Provide administrative support for reviewing and approving internship experiences in Handshake
  • Communicate with students, faculty/staff and employers about pending experiences and approaching deadlines; confirm submitted documentation and overall status
  • Attend meetings and professional development opportunities to remain current on all UTD policies and procedures related to academic internships, transcription notations, international student eligibility, technology resources, etc.
  • Requires strong written and verbal communication skills, attention to detail, accuracy, and the ability to meet strict deadlines
  • Must possess a high level of integrity and professionalism in working with highly sensitive data and be proactive in identifying and troubleshooting issues
  • Review, verify and approve alumni account requests in Handshake
  • Provide administrative support to front desk, when needed

Additional Information
As the Career Center's Experiential Programs and Assessment offerings continue to evolve, the Administrative Assistant I may be tasked with additional responsibilities to accommodate the program's demands and development.

A hybrid work arrangement may be possible for this position.
