Job Summary

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our Dirctor of Program Management, Engineering Managers and employees, assisting in daily office needs and managing company's general administrative activities

Job Responsibilities

Calendar Management
Plan, organize, and schedule company meetings occurring in the office, offsite, and via video conference
Arrange customer meetings
Provide real-time scheduling support by booking meetings and preventing conflicts
Arrange complex domestic and international travel and logistics, such as flights, hotel accommodations, and ground transportation
Complex expense reports
Create and update organizational charts as requested
Prepare communication, such as memos, emails, invoices, reports, and other correspondence
Write and edit documents from letters to reports and instructional documents
Create and maintain filing systems, both electronic and physical
Collaborate with other admins across all business units
Ensure optimal operation of office equipment, supplies, and inventories with preventive maintenance
Oversee and order office supplies and food deliveries for group meetings
Anticipate the needs of others to ensure their seamless and positive experience
Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests

Qualifications

High school diploma or GED
2 years experience in progressively responsible and varied office duties
Ability to work independently
Working knowledge of office equipment, like printers.
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
Ability to prioritize work
Good written and verbal communication skills
Strong time-management skills and multitasking ability
