Departmental Systems Specialist

Primary Purpose

Organizes and maintains departmental data to ensure that computerized systems provide needed functions on a timely and accurate basis.

Minimum Specifications

Education/Experience

Must have five years of office or related experience to include three years of personal computer experience with advanced data base and spreadsheet software.

Skills or Special Abilities

  • Must successfully pass an Intermediate-level Microsoft Excel, as established by Workforce Planning and Recruitment, with a minimum score of 80%.
  • Must have experience with database maintenance, spreadsheet, and word processing software, and familiar with departmental systems.
  • Must demonstrate aptitude for management and use of related, specialized departmental database applications.
  • Must have effective written and oral communication skills.
  • Must have the ability to convey ideas and communicate effectively and to clearly present concepts of computer technology to users.
  • Must be customer service oriented.

Responsibilities

  1. Maintains departmental database information and receives, collect, reviews and enters data to ensure records are current and accurate. May include electronic data transfers between departmental tables and the mainframe.
  2. Analyses and reconciles database entries to ensure accurate records for departmental use. Processes corrections as necessary.
  3. Provides training to departmental employees and serves as a resource person in word processing, spreadsheet, and database management to ensure accurate and efficient database entry and reporting procedures.
  4. Generates and distributes routine and periodic reports for management, vendors, and/or other hospitals on statistical information, demographics, and trends, etc. to ensure that consistent and accurate information is being provided to the community.
  5. Maintains a positive working relationship with customers, management, vendors, and other hospital employees to ensure an open/friendly environment for effective communication and sharing of database information.

Job Accountabilities

  1. Identifies ways to improve work processes and improve customer satisfaction. Makes recommendations to supervisor, implements, and monitors results as appropriate in support of the overall goals of the department and Parkland.
  2. Stays abreast of the latest developments, advancements, and trends in the field by attending seminars/workshops, reading professional journals, actively participating in professional organizations, and/or maintaining certification or licensure. Integrates knowledge gained into current work practices.
  3. Maintains knowledge of applicable rules, regulations, policies, laws, and guidelines that impact the area. Develops effective internal controls designed to promote adherence with applicable laws, accreditation agency requirements, and federal, state, and private health plans. Seeks advice and guidance as needed to ensure proper understanding.
