Seeking an Administrative Specialist to support the Vice Chair for Solid Tumor Disease Groups and the Associate Administrator with high level administrative support. Responsibilities are heavily focused on significant and important project responsibilities and comprise the majority of this position's effort. Project assignments require considerable research, initiative, independent discretion and specialized knowledge and abilities. Specific Duties & Responsibilities
- Plan, coordinate, publish all clinical schedules including attending schedules and on call schedules.
- Oversees published calendars including AMION, and Centrex On-Call System.
- Manage the Qgenda provider scheduling software.
- Develop and maintain Solid Tumor intranet site.
- Develop systems and processes to track, monitor, and ensure compliance:
- Clinical licenses (Maryland medical license, Out of State physician licenses, CRNP, PA, Maryland and Federal controlled substance licenses)
- CME required for FACT Accreditation
- Mandatory myLearnings
- Human Subjects Research Recertifications and required in-person trainings.
- Provide high level administrative support to Vice Chair.
- Coordinate faculty meeting agendas and guest speakers.
- Coordinate faculty appointment and promotion material documents and annual reviews.
- Coordinate faculty recruitment efforts including interviews, talks, and paperwork.
- Plan and oversee lectures, CME approved sessions, and special events.
- Manage issues relating to the physical facilities.
- Project responsibilities comprise the majority of its responsibilities.
- Project assignments require considerable research, initiative, independent discretion and specialized knowledge and abilities.
- Assist in the training of new administrative assistants.
- Interpret, monitor, and analyze information regarding operating policies and procedures.
- Produce power points as requested.
- Exercise independent judgment in the resolution of administrative problems.
- Use various software applications, e.g., spreadsheets, databases, word processing, and other information systems.
- Operate office equipment, e.g., photocopier, fax, personal computer.
Minimum Qualifications
- Bachelor's degree.
- Five years in providing high level expertise.
- Additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.
