Program Secretary - Assertive Community Treatment

Position Summary:


Under the supervision of the Supervisor, provides administrative support to the program and team members. Processes paperwork, responds to phone calls and emails, audits records, and performs data entry. Program Secretary may perform research, create training documents, and complete other program tasks assigned by the supervisor.

EXPERIENCE REQUIREMENTS
Previous experience in a secretary or clerical position.

ADDITIONAL REQUIREMENTS

  • Use of usual and customary equipment used to perform essential functions of the position.


SKILLS AND KNOWLEDGE
Proficient keyboardingBasic reading, writing and oral skillsAbility to respond appropriately to client/co-worker. Interaction with a wide variety of people.Maintain confidential information.Ability to communicate only the facts to recipients or to decline to reveal information.Ability to project a professional, friendly, helpful demeanor.Basic computer knowledge: Uses word processing, spreadsheet, e-mail application, and web browser. Comfortable within a Windows OS and learning new application.Required to be proficient with Excel and other MS Programs.


Essential Functions:

  • Key Accountability* Ensures that safety and privacy of patients and staff are top priority within the program.* Demonstrates thorough knowledge of HIPAA through actions such as asking visitors to sign-in, verifying client releases, etc. * Answers telephone timely, professionally, identifying unit, name, and title .* Establishes positive working relationships with others.* Communicates with others in a professional and respectful manner.* Prioritizes and accurately channels incoming and outgoing information. * Participates in required program calls/meetings.* Attends supervision as scheduled by supervisor.* Audits charts and provides compliance report weekly. * Completes program specific reports weekly.* Assists with entering/uploading documentation in electronic health record. * Provides required information to governing bodies through secure methods. * Compiles and reports program survey and other data.* Provides coverage for receptionists as needed.
  • Key Accountability* Skillfully and professionally answers incoming calls.* Uses overhead paging system for emergent and non-emergent situations adhering to unit/facility policies.* Monitors and modifies team schedules. * Registers, admits, discharges, and schedules clients.* Prints/copies materials for office staff as requested.
  • Key Accountability* Responds appropriately to unit emergencies and alerts.* File/scans reports from printer/fax.* Maintains flexibility and is able to adapt to rapidly changing environment and work volume.* Participates in staff meetings and completes team meeting minutes.* Creates on-call schedule for team, if applicable. * Submits work orders for repairs or cleaning of unit/facility.* Performs additional duties as requested.
